5 Tips for Using QuickBooks

The purpose of any financial software is to make accounting easier and more reliable. QuickBooks is a dependable program to use and here we will provide you with QuickBooks tips to make it even easier:

  1. Company Snapshot: This is very easy to access and super informative. In the menu, click the Company | Company Snapshot button and you won’t believe the amount of information that is here for you to absorb all in one place. You will easily have access to income and expense trends, account balances, and previous year income and expense comparisons and much more!
  2. Keyboard shortcuts are always a time saver. Here are some favorites:
    • Ctrl-I     Create invoice
    • Ctrl-E     Edit transaction selected in register
    • Ctrl-F     Find transaction
    • Ctrl-J     Open Customer Center
    • Ctrl-M     Memorize transaction or report
    • Ctrl-N     New invoice, bill, check, or list item in context
    • Ctrl-Q     QuickReport on transaction or list item
    • Ctrl-T     Open memorized transaction list
    • Ctrl-W     Write new check
  3. QuickMath Calculator: Click inside the field you want to calculate (amount of check, amount of bill, etc). Press the = key and a mini tape will appear. Type the numbers you need to calculate and then follow with the appropriate sign such as +, -, *, /, or =. To clear the amount, click C once and C twice to clear the entire tape. Exit by pressing the Esc button.
  4. Preferences: There are many preferences that may need to be set which are not covered in the initial setup. To manually change these preferences, click Edit | Preferences. Preferences are grouped into categories for Accounting, Checking, Bills, etc. There are tabs to set preferences for the individual user or for the entire company.
  5. Exporting: You can easily export QuickBooks reports to Excel. Open the report you want to export. Click the Export button at the top of the report. Choose whether to export as a comma-separated values (CSV) file, or into a new or existing Excel workbook. Click the Advanced tab if you want to preserve some of the QuickBooks report formatting options. Click Export.
